Your business,
free from repetitive work.
We identify the work your team should never be doing, including manual admin and repetitive business processes like customer interactions, data entry, approvals, and fixed-rule operations, then build systems that handle them end-to-end automatically. We stay as your long-term partner to support, improve, and scale. Most clients save 15 to 25 hours per person per month, with systems live in 4 to 8 weeks.
Dear operations leader,
Your team was not hired to move data between systems, chase updates, or repeat the same tasks every day.
And you were not meant to stop what you are doing just to answer calls, reply to messages, or manually book appointments.
But that is where a huge amount of time and revenue disappears. Missed calls. Slow replies. Bookings that never happen.
We map your real workflows, build AI systems that plug into your existing tools, and remove that operational drag. Calls get answered. Leads get replied to instantly. Appointments get booked, confirmed, and followed up automatically. No rebuilds. No long projects. Most systems go live in 4 to 8 weeks.

What We Build for Your Business.
Lexa Systems builds AI automation workflows that remove repetitive work across your business, including internal admin, operational workflows, and customer-facing tasks like enquiries, bookings, and follow-ups. We connect the tools you already use or build custom systems where needed, so work flows automatically without manual input. Every system is designed to integrate cleanly, deploy quickly, and deliver measurable impact.
All systems are built with security, monitoring, and reliability from day one. Most clients see measurable efficiency gains within 4 to 8 weeks.
Automate Internal Admin & Workflows
We remove repetitive internal work like data entry, reporting, approvals, and manual updates by connecting your existing tools into automated workflows. Information moves between systems without anyone touching it, reducing errors and saving hours every day.
Automate Customer Enquiries & Responses
We build systems that manage all customer messages in one place across email, website forms, live chat, social media, and messaging apps. Enquiries are automatically sorted, labelled, and routed, with instant responses or escalation when needed. Key messages trigger WhatsApp or Slack alerts so nothing important is missed, and every lead stays visible and actionable in real time.
Automate Bookings, Scheduling & Calls
We use AI systems to automate the entire appointment flow, handling bookings, reschedules, cancellations, and routine enquiries without staff involvement. AI phone agents and chat assistants respond instantly, qualify enquiries by asking key questions like budget and service needs, check availability, and confirm appointments in real time. SMS messages are automatically sent for booking confirmations, appointment reminders, and re-engagement prompts to help fill gaps in your calendar. Every interaction is logged and synced across your systems automatically, so nothing is missed and no follow-up is manual.

Here is what changes when calls, bookings, admin, and follow-ups are handled automatically instead of being managed manually.
About Us.
Lexa Systems was founded by Charles Fairclough. Working with a small team of specialists, we design and implement AI systems that replace manual workflows, automate customer interactions, and streamline operations. The result is a business that runs more efficiently, responds faster, and scales without added overhead.
1. Identify
We map how your business actually runs, from enquiries and bookings to internal workflows, and pinpoint where time is being lost to manual work. The goal is simple: find what should be automated first.
2. Build
We design and deploy AI systems that plug into your existing tools and handle those workflows automatically. Most systems are live in 4 to 8 weeks and start delivering value immediately.
3. Embed
We integrate everything into your day-to-day operations so it runs without friction. Your team does not manage the system, it becomes part of how the business works.
4. Improve & Expand
We monitor performance, refine what is in place, and expand automation into new areas. Over time, more of your business runs without manual input.
Frequently Asked Questions.
What's your guarantee?
If your system hasn't paid for itself within 90 days, we don't walk away. We stay on it, free, for as long as it takes.
How does pricing work?
Every project has a setup fee and a monthly retainer. Setup covers the build: scoping, design, integration, testing, go-live, and full documentation and handover guides so you always know how your system works.
The retainer covers everything it takes to keep your system running and improving: server costs, AI model usage, monitoring, updates, new workflows, and a monthly strategy call. You never have to think about the tech.
Retainers start at £500/month. Setup fees start at £1,500 and can be waived entirely for clients who commit to 6 months upfront, because longer partnerships let us build better systems and deliver more value than a one-off ever could.
Most of our clients recover the monthly retainer cost from a single recovered booking or missed call within the first week of going live.
We scope every project on the free audit call, so you will know the exact numbers before you commit to anything.
What actually happens on the free audit call?
We look at how your business currently handles enquiries, bookings, and internal workflows, and identify where time and revenue are being lost. You will leave with a clear picture of what could be automated, which to prioritise first, and what a realistic cost and timeline looks like. Most people tell us it was worth it regardless of whether they went ahead.
Is this right for my business?
If your team is spending time on tasks that follow a pattern, responding to the same enquiries, moving data between systems, chasing approvals, booking appointments, generating reports, then yes, almost certainly. We work with independent service businesses, professional services firms, and enterprise teams. The common thread is not industry or size, it is operational drag: work that is eating time and revenue that a well-built system could handle automatically.
We already use Zapier and Make. Is this different?
Yes. Zapier and Make are great for simple trigger-based tasks. What we build goes further: complex, multi-step workflows that make decisions, handle conversations, and connect your entire operation end to end. The difference is that we design and build the whole system around how your business actually works, rather than leaving you to stitch individual automations together yourself.
How quickly will we see results?
Most systems go live in 4 to 8 weeks. In many cases the first automation is already saving time and capturing missed enquiries within the first few weeks of go-live. The audit call will give you a more specific timeline based on your setup.
What if our team is not technical?
That is expected and it is not a problem. Everything we build is designed to run without your team needing to manage it. If you ever need to update anything, like changing your availability, adding a new service, or tweaking a response, it is done through a straightforward admin panel built for non-technical people. Every system comes with full documentation written in plain English, and we are always on hand if anything needs adjusting.
How is this different from just using ChatGPT?
ChatGPT and similar tools still require someone to sit down and use them. What we build runs automatically in the background, handling enquiries, routing information, triggering actions, and updating your systems without anyone needing to prompt it. It is the difference between a tool and a system.
Can you integrate with our existing systems?
Almost certainly yes. We work with CRMs, booking platforms, practice management software, internal databases, communication tools, and most common business platforms. In the vast majority of cases nothing needs replacing. We connect and improve what is already there.
Do you work with enterprise businesses as well as smaller ones?
Yes. We work with independent service businesses and large enterprise organisations alike. The approach scales. Smaller businesses tend to see faster ROI because the quick wins are more obvious. Larger organisations tend to have deeper inefficiencies and bigger total value to unlock.
What happens after the system is live?
Your retainer covers ongoing monitoring, updates, and improvements. As your business changes, we adapt the system. Many clients add new automations over time as they see what is possible. You will also have full documentation so your team always understands how everything works.
What if we have tried AI before and it did not work?
Most AI projects fail because they stay as tools or experiments rather than becoming proper systems. A chatbot nobody uses, a prompt someone has to remember to paste, a pilot that never got deployed. We focus on real operational workflows and build things that run reliably without anyone needing to manage them day to day.
How much time will this take from our team?
Very little. We need your input at the start to understand how your business works, and a round of feedback before go-live. Most clients spend fewer than 3 hours total before their system is live. After that, the whole point is that it runs without you.
What does implementation actually look like?
It starts with a scoping call where we map your workflows in detail. We then design the system, get your sign-off, build and test it against real scenarios from your business, and deploy it. You get a handover session and full documentation. Most clients are live and seeing results within 6 weeks.
Do we need to replace our existing software?
No. We build on top of your existing stack. The goal is to make what you already have work harder, not to start from scratch.
